An exciting position has arisen for an Administrative Assistant to join our Operations team. As an Administrative Assistant you will be responsible for providing administrative support to ensure efficient operation of the office. You will support managers and staff through a variety of tasks related to organization and communication.
The Administrative Assistant is responsible for supporting operations by receiving and distributing documents appropriately. The Administrative Assistant is also responsible for maintaining a professional, positive and friendly environment through both phone and interactions with staff, vendors and clients alike.
Reporting to the Division Managers your responsibilities will include:


Provide administrative support, including identifying medical documentation and processing/scanning into document management system.
Assist the Division Managers with special projects.
Provide facilities support such as scheduling maintenance vendor visits.
Prepare business correspondence.
Manages assigned work queue in an effective and efficient manner.
Answer, log and route incoming phone calls. Process incoming faxes and uploads.
Verify compliance of outgoing packages and mail.
Receive and put away supply orders, distribute mail.
Maintain cleanliness of meeting and conference rooms daily.
Greet and direct all incoming guests to appropriate persons/places ensuring HIPAA compliance via HIPAA confidentiality form.
Other duties as assigned.


Job Qualifications
High school diploma or equivalent required.
Use tact, discretion, and a positive tone when handling phone calls.
Prior experience must show the ability to maintain confidentiality and efficiency in a multi- functioning environment. Computer literacy required. Business level verbal and written communication skills, and strong attention to detail.
Ability to extend wrists/arms for up to eight hours/day; sit for up to eight hours/day; and work at computer terminal for up to eight hours/day.
Enthusiastic, adaptive, willing to learn, and has an overall positive, friendly and helpful attitude.
Knowledge of office management systems.
Highly motivated self-starter.
Ability to work independently.
Able to multi-task and respond to immediate requests.
Notary Public a plus.
